Privacy Policy

Who is responsible

Softvery Solutions SRL (CUI 47359605), Romania, is the controller of the personal data described here.

Our offices: Module S 129, ground floor, b. 255, Mihai Bravu street, sector 3, Bucharest, Romania; App. 2, Building 8, Knyazheskaya street, Odesa, 65029, Ukraine.

Contact: info@softverysolutions.com, +380 97 371 62 91.

Requests and email

The request form asks for your name, work email and message. When you send it, the website transmits these entries to our own server, together with the page address, language, campaign tags and device class. We store the request in our internal customer records, forward it to our company mailbox and send our team a short internal notification (name, email and the start of your message) through the Telegram messaging service. We use the request to answer you and keep the related business correspondence. If sending fails, the form opens a draft in your email app instead; nothing is sent until you send that email yourself.

Booking a meeting

We use Calendly (calendly.com) to arrange meetings. Calendly collects your name, email and answers to booking questions and handles them under Calendly's Privacy Notice.

When you book, the website sends our team a booking signal with the booking identifiers, page path, campaign tags, device class and time. It contains no name, email or booking answers. Our team may link a booking to your contact details from the Calendly confirmation.

Visit counter and browser storage

Our visit counter shows which pages and campaigns bring visitors. It uses no cookies. It records the page path, campaign tags (UTM source, medium and campaign), the referring website's hostname and the device class (mobile, tablet or desktop).

The counter does not store your IP address. The server briefly uses it to create a salted hash that limits repeated or abusive requests.

Your browser's session storage remembers the campaign tags of your visit and whether you closed the ICEF welcome card. The tags are added to links within the site, to Calendly booking links and to the visit and booking signals. Session storage ends with your browser session and can be cleared in your browser settings.

Your browser's local storage keeps your cookie choice (accepted or rejected), so the cookie banner does not appear on every page. It stays until you change it with “Cookie settings” or clear your browser data.

Google Ads and cookies

We advertise with Google Ads. To measure which ads lead to enquiries and, with your consent, to show our ads again to people who visited this site, every page loads the Google tag from Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. Google Ireland Limited is the recipient of the data described in this section.

Google cookies are used only after you choose “Accept” in the cookie banner. They then store identifiers of the ad click and of the visit, so that Google can report to us which ads led to enquiries. We see these results as aggregated reports. Cookies set for our domain expire after up to 90 days; cookies that Google sets on its own domains follow the lifetimes stated in Google’s Privacy Policy. The legal basis is your consent (Article 6(1)(a) GDPR).

Remarketing: if you accept, Google also adds your browser to a list of visitors to this site, so that we can show our ads again to people who visited it when they later use Google services or websites that show Google ads. Google is the recipient of this data; we see only the size of the list, not who is on it. Your browser stays on the list for up to 180 days after your last visit. The legal basis is your consent (Article 6(1)(a) GDPR). You can withdraw it at any time with “Cookie settings”, and you can manage the ads Google shows you in Google’s ad settings.

Until you accept, and if you choose “Reject”, the tag sets and reads no cookies. Your browser still connects to Google when a page loads, so Google receives your IP address and limited technical information without advertising cookies, such as the page address, the time, your browser type and your cookie choice.

You can change or withdraw your choice at any time with “Cookie settings” at the bottom of every page. Withdrawal does not affect processing before it. When you withdraw, the website deletes the Google cookies stored for our domain.

Google may also process this data in the United States; Google LLC participates in the EU-U.S. Data Privacy Framework. Google uses the data under Google's Privacy Policy.

Hosting and other providers

The website runs on servers of our hosting provider. The site loads Google Fonts from Google, so your browser connects to Google, which receives your IP address to deliver the fonts (Google's explanation).

Our email, hosting, booking and messaging providers process the information they need to deliver their services. Our team works from the EU and from Ukraine.

Why we use data and on what basis

We use enquiry and booking data to answer you and arrange conversations: to take steps at your request before a possible contract, or on our legitimate interest in answering business enquiries. We use visit data to understand how the website is used and the salted hash to prevent abuse, based on our legitimate interests.

How long we keep data

We keep enquiry and booking information for up to 24 months from our last contact with you, unless the law requires longer. Visit records and booking signals are kept for up to 24 months. Rate-limit entries expire after 60 seconds.

Your rights

Under the GDPR you may request access to your personal data, correction, deletion, restriction of processing and, where applicable, portability. You may object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it at any time without affecting earlier processing.

Send requests to info@softverysolutions.com. We may ask for information to verify your identity. You may also complain to a supervisory authority, including Romania's ANSPDCP, or the authority where you live or work.
